Terms & Conditions – Kolkata City Tour
Business Name: India Tours Hub
Official Website: https://kolkatacitytour.co.in/
Welcome to Kolkata City Tour. These Terms & Conditions explain the rules that apply when you book or use our tour and travel services.
Please read these terms carefully before confirming your booking. By booking or using our services, you agree to follow these conditions.
All communication about tour bookings, travel services, payments, amendments, and cancellations should go through Kolkata City Tour’s official communication channels.
1. Payment Policy
Kolkata City Tour requires an advance payment to confirm and secure every tour or travel booking.
Customers can pay the remaining balance before leaving their home country or after arriving in India. However, they must clear the full outstanding balance before the booked tour or travel service begins.
The advance payment amount depends on several factors. These include the type of service, booking requirements, and the time remaining before the tour starts.
Additionally, certain services require full advance payment. These may include special train journeys and hotel or resort bookings during peak seasons, such as Christmas and New Year.
We will inform customers about the applicable payment requirements before confirming their bookings.
2. Modes of Payment
International customers can pay their advance through international wire transfers or bank transfers. They must use the official bank account details provided by Kolkata City Tour.
Before making a payment, customers should carefully verify all banking details.
Furthermore, customers may need to pay applicable bank charges, international transfer fees, and currency conversion charges. However, we may agree to different arrangements in writing.
Kolkata City Tour confirms a booking only after receiving the required payment and issuing an official confirmation.
3. Cancellation Policy
Customers who wish to cancel a confirmed tour or travel service must submit their requests to Kolkata City Tour in writing.
We calculate cancellation charges from the date we receive the written cancellation request. The following charges apply:
| Cancellation Period Before Arrival | Cancellation Charges |
|---|---|
| 45 days or more | 10% of the total tour/service cost |
| 30 days before arrival | 25% of the total tour/service cost |
| 20 days before arrival | 50% of the total tour/service cost |
| 15 days or less / No-show | No refund |
3.1 Cancellation During Working Days
Kolkata City Tour accepts written cancellation requests on all working days except Sunday.
If we receive a cancellation request on Sunday, we will consider Monday as the official receipt date.
3.2 Peak Season and Festival Period
Bookings during major festivals and peak seasons may have special non-refundable payment conditions.
These periods include:
- Durga Puja
- Navaratri
- Diwali
- Christmas
- New Year
In particular, bookings covering travel dates between 20 December and 5 January become non-refundable once confirmed. However, applicable laws and specific supplier conditions will also apply.
3.3 Cancellation After Tour Commencement
If a customer cancels a tour after it begins, we will calculate any eligible refund based on the amount we recover from the relevant service providers.
These providers may include hotels, transportation companies, contractors, and other suppliers.
Moreover, we generally cannot refund unused hotel accommodation, transportation, missed meals, sightseeing, or other unused services when the respective provider does not offer a refund.
3.4 Wildlife Safari Cancellation Policy
All wildlife safaris in Indian national parks and wildlife sanctuaries follow the cancellation rules of the respective park authorities and booking providers.
Some authorities and providers classify safari permits and reservations as non-refundable. In such cases, customers cannot claim a refund.
Additionally, changing a safari date may count as a cancellation and require a new booking. The relevant authority’s rules will determine whether we can make this change.
Safari date changes also depend on availability. Customers cannot claim refunds or adjustments when the relevant authority or provider does not permit them.
4. Our Liabilities and Limitations
After Kolkata City Tour finalizes and communicates a tour price, certain external charges may increase. Customers may need to pay the difference when these changes affect their bookings.
Such charges may include:
- Monument and museum entrance fees.
- Government taxes and statutory charges.
- Fuel prices and transportation costs.
- Tour guide charges.
- Government-imposed fees.
- Other mandatory charges introduced by relevant authorities or service providers.
Kolkata City Tour may work as a tour operator, booking agent, or intermediary. We coordinate with hotels, airlines, transportation companies, railways, tour guides, and other travel providers.
However, third-party providers may apply their own terms and conditions. These conditions may cover vouchers, receipts, tickets, contracts, and other service documents.
We will make reasonable efforts to coordinate your booked services. Additionally, we will assist customers in resolving service-related issues wherever possible.
5. Itinerary Changes and Modifications
Kolkata City Tour provides itineraries as proposed or sample travel schedules. These itineraries help customers understand their planned journeys.
However, actual travel arrangements may change because of several factors, including:
- Weather conditions.
- Road and traffic conditions.
- Local restrictions and operational requirements.
- Transportation or service availability.
- The physical ability and health of tour participants.
- Natural disasters and unforeseen circumstances.
- Government regulations and administrative changes.
- Other circumstances beyond our reasonable control.
Kolkata City Tour may modify, rearrange, postpone, or change any part of an itinerary when reasonably necessary.
We take these decisions primarily to protect the safety, comfort, and well-being of tour participants.
Whenever possible, we will inform customers about significant itinerary changes in advance.
6. Hotel and Airline Rates
Our tour prices reflect the prevailing rates negotiated with hotels, airlines, transportation companies, and other service providers when we prepare a quotation.
However, these providers may revise their rates, taxes, or additional charges without prior notice.
If such changes affect a confirmed booking, Kolkata City Tour may communicate the applicable price difference to the customer. We will follow the agreed booking terms and applicable laws.
Additionally, hotels follow their standard check-in and check-out timings unless the itinerary or booking confirmation specifies otherwise.

Nevertheless, we will make reasonable efforts to help customers arrange suitable alternatives wherever possible.
8. Loss, Injury, and Personal Belongings
Kolkata City Tour cannot accept liability for loss, injury, damage, delays, or inconvenience caused by circumstances beyond our reasonable control, to the extent permitted by applicable law.
These circumstances may include accidents, fires, theft, civil disturbances, strikes, natural disasters, transportation failures, equipment breakdowns, epidemics, government regulations, and other unforeseen events.
Customers must take reasonable care of their personal belongings throughout their journeys.
Furthermore, customers remain responsible for their baggage, valuables, travel documents, and other personal belongings. They carry these items at their own risk.
We strongly advise customers to keep their passports, identification documents, money, and valuables secure during travel.
Nothing in this section limits any liability that applicable law does not allow us to exclude.
9. Travel Insurance
Kolkata City Tour does not provide insurance coverage for accidents, illnesses, medical expenses, theft, baggage loss, trip interruptions, or other unexpected travel-related events unless we specifically agree otherwise in writing.
Therefore, we strongly recommend that customers purchase comprehensive travel insurance in their home countries before travelling to India.
Ideally, the insurance policy should cover:
- Medical emergencies and hospitalization.
- Accidental injuries.
- Trip cancellations and interruptions.
- Lost, stolen, or damaged baggage.
- Travel delays and missed connections.
- Emergency medical evacuation, where appropriate.
- Other travel-related risks.

Furthermore, any dispute relating to these terms or our travel services will fall under the jurisdiction of the competent courts in Kolkata, West Bengal, India, subject to applicable law.
11. Passports and Visas
International visitors travelling to India must carry valid travel documents and follow all applicable Indian immigration requirements.
Except for specific exemptions, including eligible citizens of Nepal and Bhutan, foreign visitors must have:
- A valid passport.
- An appropriate Indian visa or other authorized entry permission, where required.
Customers must ensure that their passports meet the applicable validity requirements. They must also obtain the correct visa or entry permission before travelling.
Additionally, customers must pay all passport and visa application or processing costs unless their booking confirmation specifically includes these expenses.
Customers remain responsible for following all applicable passport, visa, immigration, and entry requirements.
12. Health Requirements
Customers must ensure that they are medically fit to participate in their selected tours and travel activities.
However, certain health conditions may affect participation. For example, individuals with contagious or communicable diseases that could put other participants or service providers at risk may face restrictions. We will follow applicable health and safety requirements when making such decisions.
If a participant becomes medically unfit during a tour, we may recommend or arrange appropriate medical assistance wherever reasonably possible.
In certain situations, the participant may need to discontinue the tour. They may also need to arrange their own medical care or return travel.
Customers generally bear any additional expenses arising from medical treatment, travel changes, or early departure. However, applicable laws and insurance coverage will determine the final responsibility.
13. Important Notice and Acceptance of Terms
Travel arrangements may change because of circumstances beyond our reasonable control.
These circumstances may include landslides, roadblocks, adverse weather, natural disasters, transportation disruptions, government restrictions, and other unforeseen events.
Kolkata City Tour cannot accept responsibility for resulting additional costs, delays, cancellations, or itinerary changes, subject to applicable law.
Therefore, we request all customers to read and understand these Terms & Conditions before confirming a reservation.
By making a booking or payment with Kolkata City Tour, customers acknowledge that they have read, understood, and accepted the applicable terms.
